3.6.3 Visits – Desktop

The Visits screen is where the overview of all visit and inspection information can be found and from where you can manage visit scheduling and completion. 

It is also the screen by which you can monitor the progress of visits, or the performance across property managers. 

InfoAccess is via the Workbench Menu  -> Site Management -> Visits  

 

The screen has a list that includes all your organisations’ visits.  It has the following default columns: 

Block Ref: The reference that you have allocated to the Block. 
Block: The block / estate name. 
Postcode: The postcode of the block / estate 
Start Date/Time: This is the date the visit is to be started or had started. It will depend on the status of the visit. 
Visitor: This is the person who is visiting the site to complete the inspection. 
Status: Can be Scheduled, In Progress, Visit Complete, Report Required, Complete.  The order written here is the normal progress we would expect for a Site visit/inspection. 
Property Manager: This is the property manager of the block, which may or may not be the same as the person who will visit to complete the inspection. 
Checklist: This will be the name of the checklist that is applicable for this visit/ inspection. It will be blank if the inspection is to be freeform, or a checklist has not yet been allocated. 

You can filter and sort by any combination of these columns. 

NotesNOTE: The default setting is for the page to show Visits that the user is to be responsible for. 

Click on the ‘View’ button to view details of the Visit or complete the inspection if you are completing it whilst on your desktop. 


Adding a visit 

Click on the Add Visit button at the top right of the screen if you want to schedule a new visit or you want to complete details of a visit/ inspection.  We expect this to be used on the desktop most of the time just to schedule a visit. 

 

The pop-up allows you to enter all the essential information to initiate a visit / inspection and either schedule it in the future or for now. 

It has the following information you need to enter: 

Block: Select from the dropdown the block that is going to be visited and inspected. 
Checklist: Select checklist that it to be used for the Visit /inspection. If the visit is to be freeform a checklist will not be needed. Also, if just scheduling the visit you can add the checklist later when the visit starts.  Note that the system will show you any checklists specific to the block you have chosen ahead of the general checklists to make selection easier. 
Visitor: This is the person who is visiting the site to complete the inspection. 
Status: Can be Scheduled, In Progress, Visit Complete, Report Required, Complete.  The default when adding a new visit is Scheduled, on the basis most of the time visits will be scheduled ahead of time. 
Start date/ time: This is the date/ time when the visit and inspection should be completed. It will default to the current date/time. 
Notes: Freeform text to be used how you see fit e.g. record arrival instructions or record the weather when actually on site. Notes can be amended as a visit progresses. 

Once you enter the relevant information and click on Save, you will be taken back to the Visits screen and the visit you have just added should appear in the list.
