The Checklist Details screen is where the bulk of work is completed when creating or changing a Checklist.
Access is via the Workbench Menu -> Site Management -> Checklists -> ‘View’ for a checklist
The screen has two main sections. The upper section of the screen covers summary information about the Checklist. If you want to change anything in this area, click on the three dot button towards the upper right of the screen and select ‘Edit Checklist’. The three dot button also gives you access to an option to delete the Checklist if you so wish.
The main working area of the screen is the section called Checklist Sections. As explained earlier each Checklist is composed of Sections that contain the questions / prompts you want to address on each inspection when using the Checklist.
You can add Checklist Sections using the ‘Add Checklist Section’ button on the upper right of this area of the screen, or you can delete a Checklist Section using the ‘Delete’ button on the right against the specific Section.
You can change the name of a Section by clicking on the ‘Edit’ button towards the right of the section heading row.
To view the questions/prompts within a Section you can expand Sections either one by one by clicking the ‘ > ‘ icon towards the left of the Section Heading or by clicking the ‘Expand All’ button on the upper right of this area of the screen.
To add a question / prompt click on the ‘Add Prompt’ button on the Section header row and to delete a question / prompt click on the ‘delete’ button on the right of the relevant question / prompt row.
To change the order of questions / prompts within a Section you can drag and drop of the question/prompt line using the six dot button on the left of the prompt row. Note: you can only move a prompt within the Section.
To change the order of Sections you can drag and drop the Section using the six dot button on the left of the Section heading row.
Prompts
Prompts or questions are managed using the Add or Edit prompt pop-up. They can be configured to behave in many different ways, depending on your needs.
NOTE: If there is prompt type that is not available, that you think would be useful, please contact customer support to suggest it as an addition and we will see what we can do.
The basic details that need entering are outlined below. You can use the combinations of these settings to get a broad range of behaviours:
Prompt: This the text that appears as the person is completing the checklist when doing the inspection e.g. ‘Are there any trip hazards ?’ It is good to have a consistent style of asking the question in the Prompt and this needs to align with the Prompt Type you chose.
Description: This is the text that appears on the help button next to the prompt and can be used when doing the inspection to understand what is meant by the prompt, or what needs to be covered by the prompt. E.g. “Check all corridors for items on the ground and report any bikes, prams as well.”
Prompt Type: This is the type of answer a user has to give the Prompt/question e.g. Yes / No, or Poor/Fair/Good.
Response Required: This determines whether the user has to provide an answer to the prompt for it to be counted as done and hence to allow the whole inspection to be completed. If this is set to ON i.e. highlighted blue, this means a user cannot complete the inspection without giving an answer to the prompt. E.g. you should use this where you always want the person to take a meter reading when doing an inspection.
Comments: This determines whether for this prompt you are going to allow the user to provide any comments, and / or whether it is mandatory to provide a comment.
Images: This determines whether for this prompt you are going to allow the user to provide images, and / or whether it is mandatory to provide an image e.g. to support a meter reading.
